Seed Scheduler ("we," "us," "our") provides scheduling, registration, attendance, and communication tools for homeschool co-ops. This policy explains what information we collect through the Seed Scheduler app and website, how it's used, who we share it with, and how you can control it.

Seed Scheduler is used by co-op administrators, teachers, and parents on behalf of a specific homeschool co-op. Each co-op's data is kept separate from every other co-op using the platform.

1. Information we collect

What we collect depends on your role in a co-op:

From parents and guardians

From teachers and volunteers

Automatically collected

2. Information about children

Seed Scheduler is a tool used by adults — co-op administrators, teachers, and parents — to manage a co-op. Children do not create their own accounts or directly provide information to us. Any information about a child (name, grade, attendance, medical notes, etc.) is provided by that child's parent or guardian, who controls what is shared and can request it be corrected or removed at any time by contacting their co-op administrator or us directly.

We do not knowingly collect information directly from children, and we do not use children's information for advertising or marketing purposes.

3. How we use information

We use the information we collect to:

We do not sell your information, and we do not use it to serve third-party advertising.

4. Who we share information with

We share information only with the services needed to run the app, and with your own co-op's administrators as part of normal co-op operations:

We do not share your information with data brokers or advertising networks. We may disclose information if required by law, or to protect the safety of a child or another person.

5. How we protect information

We use industry-standard practices to protect information, including encrypted connections (HTTPS) for all traffic, encrypted password storage, and role-based access controls so co-op staff only see what's relevant to their role. No system is 100% secure, but we take reasonable steps to protect your information and respond quickly to any issues we identify.

6. Data retention

We retain co-op records (schedules, attendance, registrations) for as long as a co-op remains active on Seed Scheduler, and for a limited period afterward for legitimate record-keeping purposes (for example, transcripts). If you'd like your personal information removed sooner, see Requesting account deletion below.

7. Your choices and rights

8. Requesting account deletion

To request deletion of your account and personal information, do either of the following:

  • In the app: go to Account settings and select "Request account deletion," or
  • By email: send a request to admin@seedscheduler.com from the email address associated with your account.

We'll confirm your identity and process deletion requests within 30 days. Some information may be retained longer where required for legitimate record-keeping (for example, a co-op's financial records for tax purposes, or academic transcripts a family has explicitly requested be kept), but will no longer be accessible through your account.

If your child attends a co-op that uses Seed Scheduler, requests specifically about a child's information can also be directed to your co-op administrator, who can coordinate deletion with us.

9. Changes to this policy

We may update this policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify co-op administrators.

10. Contact us

Questions about this policy or your information can be sent to admin@seedscheduler.com.

This policy is provided as general information about our data practices and isn't a substitute for legal advice. Given that Seed Scheduler handles information about children and payment processing, we'd recommend having this reviewed by an attorney familiar with your state's requirements and COPPA before relying on it as your final published policy.
